Zoho Books E-Invoicing in the UAE: Step-by-Step Setup Guide, Statuses and Costs

Accountant setting up Zoho Books e-invoicing for a UAE business

Quick answer

Zoho Books lets a UAE business issue PINT AE e-invoices over the Peppol network, with Zoho Software Trading LLC acting as its Accredited Service Provider. Setup has three stages: verify your organisation in Zoho Books, appoint and link Zoho as your ASP on EmaraTax, then clean your item and customer data. Businesses with revenue of AED 50 million or more must appoint an ASP by 30 October 2026.

Key takeaways

  • Zoho Software Trading LLC is on the Ministry of Finance accredited ASP list, so Zoho Books users do not need a second provider.
  • Revenue AED 50 million+: appoint an ASP by 30 October 2026, go live 1 January 2027. Others: 31 March 2027 and 1 July 2027.
  • Setup runs in three stages: Zoho Books verification, EmaraTax linking, then item and customer master data.
  • A pushed e-invoice is locked: corrections go through a credit note.
  • The first 100 e-invoicing transactions are free on Professional plans and above; packs start at AED 41 per 100.

UAE e-invoicing deadlines: when must you go live?

The UAE separates two milestones: the date by which you must appoint an Accredited Service Provider, and the later date by which e-invoicing becomes mandatory in operation. Appointing Zoho (or another ASP) is the earlier step; live, tested invoice exchange must follow by your go-live date.

Category ASP appointment deadline Mandatory go-live
Pilot / voluntary adoption From 1 July 2026 Voluntary
Businesses with revenue of AED 50 million or more 30 October 2026 1 January 2027
Businesses with revenue below AED 50 million 31 March 2027 1 July 2027
Government entities 31 March 2027 1 October 2027

In May 2026 the Ministry of Finance moved the large-business ASP appointment deadline from 31 July to 30 October 2026, but kept the 1 January 2027 go-live date unchanged (Ministry of Finance announcement). The AED 50 million threshold includes revenue equal to AED 50 million. We cover the extension in detail in UAE extends e-invoicing provider deadline to October 2026.

Practical takeaway: if your business is in the AED 50 million+ category, the appointment deadline is weeks away. Confirm your revenue category, name an internal onboarding owner, complete the EmaraTax linking described below, and plan at least one controlled end-to-end test before 1 January 2027.

New accreditation rules from 1 October 2026

Ministerial Decision No. 168 of 2026, announced by the Ministry of Finance on 9 October 2026 and effective from 1 October 2026, replaced the earlier preliminary-approval stage with direct, full accreditation. A provider may only offer e-invoicing services once it is fully accredited, and previously pre-approved providers have 30 days from 1 October 2026 to meet the new requirements. Zoho Software Trading LLC appears on the Ministry of Finance’s list of accredited e-invoicing service providers. Whichever provider you choose, check that it is on that list on the day you appoint it.

How UAE e-invoicing works: the five-corner Peppol model

The UAE uses a decentralised five-corner model built on the Peppol network. Your accounting system does not email a PDF to the customer; instead, structured invoice data passes from your ASP to the buyer’s ASP, while tax data is reported to the authorities in parallel.

Corner Who What happens
1 Supplier (you) Create the invoice in Zoho Books and submit it through your ASP.
2 Sender ASP (Zoho) Validates the invoice data, runs compliance checks and sends it securely to the buyer’s ASP.
3 Buyer ASP Receives and verifies the electronic invoice.
4 Buyer Receives the invoice in its own invoicing or accounting system.
5 MoF / FTA Receives a Tax Data Document reported from the provider side.

Corner 5 is a reporting branch that runs alongside the business-to-business exchange — it is not a fifth recipient of the same PDF. If your customer uses a different ASP, the Peppol network handles the hand-off between providers.

What is PINT-AE and what data does an e-invoice need?

PINT-AE is the UAE’s Peppol invoice specification. Every e-invoice is an XML file based on UBL 2.1 that carries a document UUID, a business process identifier and a specification identifier, so it can be validated and processed automatically. The PDF you see in Zoho Books is only the human-readable view; the structured XML is what is actually exchanged.

Supported documents include electronic tax invoices, tax credit notes, export invoices, deemed supplies, domestic reverse-charge supplies and self-billing where applicable. The required fields fall into six groups:

Category Typical fields Where it comes from in Zoho Books
A. Invoice identification Invoice number, issue date, invoice type code, document UUID, business process ID Generated by the invoice and the exchange workflow
B. Supplier Legal name, TRN, address, country, Peppol participant ID Organisation profile and e-invoicing setup
C. Customer / buyer Legal name, TRN (where applicable), address, country code Customer record — Other Details and Address tabs
D. Invoice lines Description, quantity, unit price, line amount, VAT category and rate Item master (HSN/SAC, unit code) and the invoice line
E. VAT & tax VAT category codes and rates, taxable and VAT amounts — standard, zero-rated, exempt Tax settings and tax treatment
F. Discounts & charges Invoice- and line-level discounts, allowances, additional charges with VAT category Invoice discount and charge fields

The lesson: a correct invoice total is not enough. Identifiers, item classification, addresses and tax categories must all be complete, and identifiers such as the UUID are produced by the exchange — never typed into a customer record.

Before you start: Zoho Books e-invoicing readiness checklist

  • Confirm Zoho Books (UAE edition) compatibility and plan with PINT-AE.
  • Confirm your TRN, TIN and tax registration details.
  • Make sure the authorised person has EmaraTax access.
  • Plan and test ASP connectivity.
  • Clean and validate customer and vendor master data.
  • Check that VAT codes are configured correctly.
  • Review how you handle credit notes.
  • Plan testing and onboarding before your deadline.
  • Train finance users on the new digital workflow.
  • Assign an owner to monitor failed and pending submissions.

Zoho Books requires taxes to be enabled and a TRN entered in your organisation before e-invoicing can be set up.

How to set up e-invoicing in Zoho Books (step by step)

Setup is a one-time process split between Zoho Books and the FTA’s EmaraTax portal.

Stage 1 — Verify your organisation in Zoho Books

  1. Go to Settings › Taxes & Compliance › E-Invoicing and click Set Up Now.
  2. Under Verify Your Details, enter your registered business name, TRN and TIN.
  3. Check the organisation address (Address Line 1, City, Emirate, Postal Code) and mobile number.
  4. Choose whether the address update applies only to new transactions or to existing and new transactions. This also updates your Organisation Profile and Tax Settings, so choose deliberately.
  5. Enter the FTA Registered Email ID — the email registered with the FTA, not the one you use to sign in to Zoho.
  6. Read and accept the terms, then click Save & Continue.
  1. From the Zoho setup screen click Go to EmaraTax and sign in with the authorised account for the entity.
  2. Select the correct taxable person, click View and open E-Invoicing.
  3. Read and confirm the portal instructions.
  4. In List of ASPs for onboarding, search for Zoho, select Zoho Software Trading LLC and click Proceed to ASP.
  5. On the Zoho Linking Request screen, enter the registered EmaraTax email address and TIN (mobile number is optional) and click Verify Applicant Details.
  6. Check the entity details — legal type, legal name in English and Arabic, VAT TRN — confirm the declaration and click Submit.
  7. Back in EmaraTax, open Linkage Status with ASP and confirm Zoho Software Trading LLC shows as Linked for the correct entity.

Stage 3 — Complete setup and confirm it is active

  1. Return to the Zoho Books setup page and tick I’ve completed the required setup in EmaraTax and with the ASP.
  2. Click Verify & Complete Setup.
  3. Check that E-Invoicing shows as ACTIVE, with the correct registered email, TRN, TIN and connected date.
  4. Under Settings › Users & Roles › Roles, give the E-Invoicing / Push Transactions permission only to the users who should submit invoices.

Opening the settings page is not proof of connection. Success means three things together: the EmaraTax linkage shows Linked, Zoho shows ACTIVE, and a controlled test invoice reaches Pushed with a UUID.

Prepare your item master for e-invoicing

Open Items › New Item (or edit existing items). E-invoicing adds classification data that flows into every invoice line, so fixing it once in the item master saves repeated manual entry later.

  • Goods or Service — set the correct type.
  • HSN/SAC label — use the built-in lookup to search by description and pick the code that fits the actual item. Do not copy a code from a demo or another business.
  • Unit and Unit Code — map your selling unit (piece, box, hour, etc.) to the applicable standard unit code.
  • Arabic name — complete the secondary-language name so the bilingual invoice PDF displays correctly.
  • Selling price, sales account and tax — as normal.
  • GTIN, Nature Code and excise flag — complete these where they apply to the product; not every field is needed for every item.

Prepare customer and vendor records

Open Sales › Customers (and the equivalent vendor records) and complete the Other Details tab:

Field What to enter
TIN Number The customer’s tax identification number, where applicable.
Buyer ID Value & Buyer ID Authority The buyer’s identifier (for example a trade licence number) and the authority that issued it.
Legal Name The registered legal name, which may differ from the display name.
Location Code Type / Value Location identifiers where the buyer uses them.
Electronic Address The buyer’s Peppol network address — not their ordinary email.
Tax Treatment & Place of Supply VAT registered, non-VAT registered, designated zone, GCC, non-GCC, etc.

Also complete the Arabic display name and the address. Then open the customer profile, find PEPPOL Status and click Check Status to confirm the customer is Eligible on the network before you plan to push invoices to them. Always obtain identifiers from the customer or their provider — never guess them.

How to create and push an e-invoice in Zoho Books

  1. Go to Sales › Invoices › New and select a prepared customer.
  2. Add items from the item master — the HSN/SAC and unit code carry into the line automatically.
  3. Review quantity, price, discount, tax category (Standard Rate 5%, Zero Rate 0%, Exempt or Out of Scope) and totals.
  4. Set the Expected Payment Mode (for example bank transfer or credit card). It is included in the XML; if the customer later pays by another method, that is not a problem.
  5. Click Save as Draft and review the bilingual preview — seller, buyer, identifiers and lines.
  6. Open the reviewed invoice and click Send Invoice to push it through the Peppol network.
  7. Watch the e-Invoice Status move from Push Initiated to Pushed, and record the generated UUID.

Review before you push. Once an invoice is successfully pushed, its data is locked and the transaction cannot be deleted. Check everything in draft first.

Zoho Books e-invoice statuses explained

e-Invoice status Meaning What to do
Yet To Be Pushed Created in Zoho Books but not yet submitted to Peppol. Review and push, or confirm it is outside scope.
Push Initiated Submission has started; a UUID is generated once it succeeds. Wait — this is a transient state, not success.
Pushed Successfully exchanged; a UUID has been generated. Keep the UUID for reconciliation and queries.
Failed Validation or transmission failed. Read the error, correct the data and retry.

Document status and e-invoice status are separate

An invoice can still show Draft as its accounting status while its e-invoice status reads Push Initiated. The two tracks describe different things, so always use the e-invoice status and UUID — not the Draft label — to judge whether transmission has happened. A warning about missing Arabic customer or item names affects the bilingual PDF; it is not, by itself, a failed Peppol submission.

How to correct a pushed invoice

You cannot edit or delete a successfully pushed e-invoice. Corrections are made with a credit note, which is itself pushed through the network, followed by a new correct invoice where needed. Failed invoices are different — their errors can be fixed and the push retried. Agree internally who is allowed to raise e-invoice credit notes and how they are approved.

Receiving supplier e-invoices as bills

When a supplier sends you an e-invoice through Peppol, it arrives automatically in Purchases › Bills as a Draft; supplier credit notes arrive as draft vendor credits. Review the supplier, lines, quantities, prices and VAT, then click Convert to Open to move it into your normal payables workflow.

  • Assign someone to review incoming draft bills regularly.
  • Do not manually re-create a bill that has already arrived through the network — that causes duplicates and VAT input errors.
  • Keep the supplier invoice reference and exchange identifiers for reconciliation.

Monitor everything in the E-invoice Report

Go to Reports › E-invoice Report, choose the date range and entity, and click Run Report. It lists transaction number, type, contact, e-invoice status and UUID. A good routine is to run it weekly and at each month-end: clear anything Yet To Be Pushed, investigate every Failed item, confirm retries reach Pushed, and export the report as evidence of submission when your auditors or the FTA need it.

Zoho Books e-invoicing pricing and transaction packs

Zoho offers UAE e-invoicing as a non-recurring add-on. As presented by Zoho in October 2026:

Pack Eligible transactions Price shown
Free First 100 No cost (Professional plan or above)
100 Pack 100 AED 41
500 Pack 500 AED 185
1,000 Pack 1,000 AED 330
5,000 Pack 5,000 AED 1,500
10,000 Pack 10,000 AED 2,700
Above 10,000 Contact Zoho

Two points matter for budgeting. First, incoming vendor bills and credit notes received through the framework also count as transactions, not just your outgoing B2B and B2G invoices. Second, unused pack balances stay valid as long as your Zoho Organisation ID stays the same. Prices and plan eligibility can change, so confirm current terms with Zoho before purchasing.

Common Zoho Books e-invoicing mistakes to avoid

  • Using the Zoho login email instead of the FTA-registered email during setup.
  • Linking the wrong taxable person in EmaraTax when one login manages several entities.
  • Copying HSN/SAC or unit codes from examples instead of classifying your own items.
  • Putting a customer’s ordinary email in the Electronic Address field.
  • Pushing invoices without reviewing the draft — pushed data is locked.
  • Reading the Draft label as “not sent” while the e-invoice status says otherwise.
  • Re-keying supplier bills that already arrived through Peppol.
  • Budgeting packs on sales invoices only and forgetting inbound bills and credit notes.
  • Testing a live production connection with artificial invoices to real customers.

What is in scope — and what is not

The current mandate targets B2B and B2G transactions. Under Ministerial Decision No. 244 of 2025, B2C transactions — and persons exclusively engaged in them — are excluded until a later ministerial decision says otherwise. Where a customer is not registered or not eligible on Peppol, Zoho Books can still deliver a PDF by email, but that software fallback does not on its own settle the reporting position of every overseas or unconnected transaction. Get specific advice for exports, designated-zone supplies, self-billing and reverse-charge cases. The UAE Electronic Invoicing Guidelines are the primary reference.

Zoho Books E-Invoicing – FAQs

01.Is Zoho Books an approved e-invoicing provider in the UAE?

Yes. Zoho Software Trading LLC appears in the EmaraTax list of Accredited Service Providers, so Zoho Books users can appoint Zoho as their ASP and send and receive PINT-AE e-invoices through the Peppol network directly from Zoho Books.

02.How do I enable e-invoicing in Zoho Books UAE?

Go to Settings, Taxes & Compliance, E-Invoicing and click Set Up Now. Verify your business name, TRN, TIN, address and FTA-registered email, link Zoho Software Trading LLC as your ASP in EmaraTax, then return to Zoho Books and click Verify & Complete Setup until e-invoicing shows as Active.

03.When is e-invoicing mandatory for my business?

Businesses with revenue of AED 50 million or more must appoint an ASP by 30 October 2026 and go live on 1 January 2027. Businesses below AED 50 million must appoint an ASP by 31 March 2027 and go live on 1 July 2027. Government entities go live on 1 October 2027.

04.Can I edit or delete an e-invoice after it is pushed?

No. Once an invoice is successfully pushed, its data is locked and it cannot be deleted. Corrections are made by issuing a credit note through the network. Invoices with a Failed status can be corrected and pushed again.

05.What does Push Initiated mean in Zoho Books?

Push Initiated means submission to the Peppol network has started but has not yet completed. The successful final status is Pushed, at which point a UUID is generated. If the status becomes Failed, review the error, correct the data and retry.

06.Why does my invoice still show Draft after pushing?

The accounting document status and the e-invoice status are separate. An invoice can show Draft while its e-invoice status is Push Initiated or Pushed. Use the e-invoice status and UUID to judge whether it has been transmitted.

07.How are supplier e-invoices received in Zoho Books?

Supplier e-invoices received through Peppol appear automatically in Purchases, Bills as drafts, and supplier credit notes appear as draft vendor credits. Review them and click Convert to Open to move them into your payables workflow.

08.How much does Zoho Books e-invoicing cost?

As presented by Zoho in October 2026, the first 100 e-invoicing transactions are free on Professional plans or above, with add-on packs from AED 41 for 100 transactions up to AED 2,700 for 10,000. Incoming bills and credit notes also count. Confirm current pricing with Zoho before buying.

09.Is B2C covered by UAE e-invoicing?

Not currently. Ministerial Decision No. 244 of 2025 excludes B2C transactions, and persons exclusively engaged in them, until a later ministerial decision determines otherwise.
